Meeting Cost Calculator

Work out what a meeting actually costs.

Meeting Cost Calculator adds up what a meeting costs from the attendees, their rates and its length, including preparation time and an employer overhead multiplier. It shows the cost once and per week, month and year for a recurring meeting, and a counter that runs live during it. Calculated in your browser.

Questions about Meeting Cost Calculator

What is the loaded cost multiplier?
Salary is not what an employee costs. Employer taxes, pension contributions, insurance, equipment and space typically add 25% to 40% on top, and higher in some countries. The multiplier lets you use a realistic figure rather than the salary alone, which understates a meeting substantially.
Why include preparation time?
Because a meeting that needs a deck, a read-ahead or notes written up afterwards costs more than the hour in the room. For recurring meetings this is often the larger number, and it is the part that never appears in anyone’s calculation.
How is an annual salary turned into an hourly rate?
By dividing by the working hours in a year, which you can set. The common default is 2,080 hours, which is 40 hours across 52 weeks and ignores holiday and public holidays. Reducing it to about 1,880 accounts for leave and gives a higher, more honest hourly figure.
Is this a real argument for cancelling a meeting?
It is one input, not a verdict. A weekly hour with eight senior people is genuinely expensive and worth examining. But cost is not the same as value, and some of the most expensive meetings are the most useful ones. Use the number to start the conversation, not to end it.
Are the salaries I enter stored anywhere?
No. Pay data is about as sensitive as office data gets. Everything you type stays in the tab, is never uploaded, and is not remembered between visits.
Is Meeting Cost Calculator really free, with no limits?
Yes. There is no account, no daily cap, no file-size tier and no watermark, because there is no server cost to recover. The site is funded by clearly disclosed partner recommendations on the Partners page, never by metering the tools.
Are my files or text uploaded when I use Meeting Cost Calculator?
No. Everything is processed by JavaScript running in your browser, on your device. You can verify it: open your browser's developer tools, switch to the Network tab, and use the tool. You will see no request carrying your data — because there is nowhere for it to go.
